Setting the Stage 🎬

Ever wished you had a streamlined system to handle customer questions and issues? 🤔 This guide will show you how to build a simple yet effective support ticket system directly within GoHighLevel!

Building Your Pipeline 🏗️

  • Head over to Pipelines and create a new one named “Support” (or similar).
  • Add two simple stages: New Ticket and In Progress.
  • That’s it! This creates a clear path for managing your support requests.

Creating Your Support Form 📝

  1. Go to Sites > Forms > Builder.
  2. Click “Add Form” and start with a blank canvas.
  3. Add the following elements:
    • Text Field: “Scale by Tech Support Ticket” (or your company name)
    • Email Field: To capture the user’s email address.
    • Multiline Field: Rename this to “Problem” in the advanced settings. This is crucial for later!
  4. Enable autoresponder to automatically acknowledge ticket submission.

The Automation Magic ✨

1. Ticket Received 📥

  • Trigger: “Form Submitted” for your support form.
  • Action 1: Use ChatGPT to generate a 25-word title from the “Problem” field.
  • Action 2: “Create/update opportunity”
    • Select your “Support” pipeline and “New Ticket” stage.
    • Use the ChatGPT title + a unique number (using date/time) for the opportunity name.
    • Map the “Problem” field from the contact to a custom “Problem” field you’ll create for opportunities.
  • Action 3: Send yourself an internal notification (SMS or email) that a new ticket has arrived.

2. Ticket in Progress 🧑‍💻

  • Trigger: “Opportunity Stage Change” to “In Progress.”
  • Action: Send an email to the customer confirming that their ticket is being reviewed.

3. Ticket Closed 🤝

  • Trigger: “Opportunity Stage Change” to “Won,” “Lost,” or “Abandoned.”
  • Action: Send a final email to the customer confirming the ticket closure.

Essential Settings ⚙️

  • Go to Settings > Custom Fields.
    • Create a multiline field named “Problem” for both contacts and opportunities.
  • Enable “Allow duplicate opportunities” in Settings > Business Profile and in your “Ticket Received” automation.
